AI Tools for Work: 7 ChatGPT Workflows for Your Team

AI tools for work pay off as workflows. Seven ChatGPT workflows with prompts you can copy, the data settings to check first, and how to catch mistakes.

AI tools for work pay off when you turn one recurring task into a repeatable workflow: you give ChatGPT the material and a clear brief, it drafts, you check and send. Seven tasks suit that loop in a typical office job: email replies, meeting notes, document summaries, first drafts, spreadsheet analysis, research with sources, and language editing. Before the first one, check two things: which account you are in, and what data you may paste into it.

I train teams to work with ChatGPT, Claude and other tools, and I run my own companies with the same ones. In my team workshops, people finish with prompts and workflows they use the next day. The workflows below are the kind we build. The settings and limits come from OpenAI's help centre, checked on 6 October 2026.

Before you start: account and data

Open your settings first. Three facts from OpenAI's data controls page decide what you may paste:

  • Personal accounts (Free, Go, Plus, Pro): when "Improve the model for everyone" is off, "your new conversations won't be used to train OpenAI models". You find it under Settings, then Data controls.
  • Business accounts: "By default, OpenAI does not use content from ChatGPT Business, Enterprise, Edu, or ChatGPT for Healthcare workspaces to train its models."
  • Temporary chats do not appear in your history and are not used to improve the models. OpenAI may keep them for up to 30 days for safety purposes.

One catch: if you rate an answer with a thumbs up or down, OpenAI says the whole conversation linked to that feedback may be used for training, even after you opt out.

Your company's rules still apply on top of OpenAI's settings. A simple default: no client personal data, nothing under NDA, no passwords or access keys, unless your employer approved the tool for exactly that.

The prompt pattern behind every workflow

OpenAI's own advice fits in two lines: be clear and specific with enough context, and refine the prompt in rounds. Every workflow below uses the same four parts:

  1. Context: who you are, who reads the output, what happened before
  2. Task: one deliverable
  3. Material: the email, notes, document or data, pasted in
  4. Format: length, structure, tone, language

Then ask for changes. "Shorter." "Use the client's wording." "Drop the last paragraph." The second round is where a draft turns into something you would send.

Seven ChatGPT workflows for work

1. Reply to an email

I work in [role] at [company]. Below is an email from a client and my notes on what I want to say. Write a reply in [language], under 120 words, friendly and direct. Use only the facts in my notes. Email: [paste]. My notes: [paste].

Your notes carry the facts. ChatGPT carries the wording. If a fact is not in your notes, it must not appear in the reply.

2. Turn meeting notes into tasks

Below are my notes from a meeting. List every task as a table: task, owner, deadline. If the notes name no owner or deadline, write "missing". Then list open questions. Notes: [paste].

The "missing" instruction matters. Without it, the model fills gaps with guesses.

3. Summarise a long document

Summarise this document for [reader] in 5 bullet points. Then list every number, date and obligation it contains, each with the section it comes from. Document: [paste or attach].

Asking for the section reference makes checking fast. Open the document, jump to the section, compare.

4. Write a first draft of a proposal or report

Draft a [proposal/report] for [audience]. Structure: [headings]. Use only these facts: [paste]. Where a fact is missing, write [TO CHECK] instead of inventing it.

You get a structure in minutes and a clear list of what you still have to supply.

5. Analyse a spreadsheet

Depending on your plan, ChatGPT can run data analysis, which OpenAI describes as enabling "accurate calculations, data visualizations, and structured logic". Upload an export and ask:

This file is [what it is]. Find the three biggest changes compared with last month and explain each in one sentence. Show the formula or calculation you used.

Check one figure by hand before you trust the rest. Strip personal data from the export first.

6. Research with sources

ChatGPT's search lets it "look up current or niche information from the web and provide cited answers". Ask for the sources and open them:

Find [question]. Give me the answer in 3 sentences and link the primary source for every claim. If you cannot find a primary source, say so.

Without search, the model answers from training data that stops at a cutoff date. For anything current, such as prices, laws or contacts, use search and read the source yourself.

7. Edit your language

Edit this text for a native [language] reader. Keep my meaning and my facts. Mark every change in bold. Text: [paste].

This one helps most when you write in your second or third language. Bold changes let you learn instead of accepting blindly.

How to catch ChatGPT's mistakes

OpenAI describes hallucinations as answers that are "not factually accurate", including "fabricated quotes, studies, citations or references to non-existent sources", and warns the model "may express high confidence even in incorrect answers". Run four checks before anything leaves your desk:

  1. Every name, number and date in the output: is it in your material?
  2. Every source it cites: does the link open, and does the page say that?
  3. Any fact you did not provide: delete it or verify it.
  4. Would you sign it with your name? If not, rewrite.

The European Commission's AI literacy Q&A uses this exact case. Asked whether a company whose staff use ChatGPT for advertising text or translation must act under the AI Act, it answers: "Yes, they should be informed about the specific risks, for example hallucination." Other AI tools for work

The same workflows run in Claude and in other AI assistants your company might already pay for. The tool matters less than three habits: the four-part prompt, the data rule, and the check before sending. Pick the tool your employer approved and build the habits there.

How do I use ChatGPT at work safely?

Use the account type your company approved. In a personal account, switch off 'Improve the model for everyone' under Settings, Data controls, so new conversations are not used to train OpenAI models. Keep client personal data, contracts under NDA and passwords out of the chat, and check every name, number and date before an output leaves your desk.

Which tasks should I hand to ChatGPT first?

Recurring text tasks where you hold the facts: replies to emails, meeting notes turned into tasks, summaries of long documents, first drafts of proposals and reports. You give it the material, it gives you the draft, you check it. Leave decisions and anything you cannot verify with yourself.

Does ChatGPT make mistakes?

Yes. OpenAI's help centre calls it hallucination: the model can give incorrect facts or dates, fabricate quotes, studies and citations, and sound confident while it is wrong. Treat every output as a draft and check it against your source material.

Does my company's ChatGPT data train OpenAI's models?

It depends on the account. OpenAI says that by default it does not use content from ChatGPT Business, Enterprise, Edu or ChatGPT for Healthcare workspaces for training. In personal accounts, training stays on until you turn off 'Improve the model for everyone'. Temporary chats are not used to improve the models.

Do I need to write prompts in English?

No. ChatGPT's interface supports dozens of languages, including German, Lithuanian and Russian, and you can write prompts and get answers in your working language. Write the prompt in the language you want the output in.
